OVERVIEW
Carasant Systems is the Nairobi-based independent software practice I founded in 2025. Through it I deliver production business platforms end-to-end as a solo engineer — and I built the practice's own operating system: the CRM, funnels, and automation infrastructure I use to track prospects, manage proposals, and onboard clients without dropping the ball.
It's also the engine behind clients' marketing systems: proof I run on what I sell.
HIGHLIGHTS AT A GLANCE
An agency's most dangerous moment is right after a client says yes — so I automated every step between the yes and the kickoff.
THE CHALLENGE
A solo practice's most dangerous moment is right after a client says yes — every manual step between the yes and the kickoff is a place where momentum dies. My own operations needed to demonstrate the standard I build for clients.
Leads arrived from website forms, referrals, and booked calls into inboxes; proposals took evenings to assemble; follow-ups depended on memory.
MY APPROACH
I mapped every step between first inquiry and project kickoff, marked the ones requiring human judgment, and automated everything else.
The same machinery — pipelines, nurture sequences, booking flows, communication automation — is what I now deploy for client marketing systems.
WHAT I BUILT
0.1
Lead capture & pipeline
Every inquiry lands in the CRM with its source attached, qualified by automated intake before the first call.
0.2
Proposal & follow-up automation
Structured proposal assembly with an automatic follow-up clock — deals stop dying of silence.
0.3
Hands-free onboarding chain
Acceptance triggers contract, deposit invoice, project workspace, welcome pack, and kickoff scheduling — minutes of human effort instead of a week of admin.
0.4
Relationship memory
Every email, call note, and decision on the client record — so phase two never starts from zero.
OUTCOMES
Client onboarding runs end-to-end with minutes of manual effort.
The same infrastructure powers the funnel and automation systems I build for clients.
Under it: Vertex's 44-site platform, Sakan, Al Hadi, and Alfanest — each delivered and supported single-handedly.
